Last updated: 28 September 2026
JAL Outsourcing ("JAL", "we", "us" or "our") provides virtual assistant staffing and outsourcing services, placing Philippines-based virtual assistants with small and medium businesses in Australia. This Privacy Policy explains, in plain language, how we collect, hold, use and disclose personal information, and how you can access or correct your information or make a complaint.
This policy applies to personal information we collect about our virtual assistant staff, our client businesses and their representatives, job applicants, and visitors to our website.

2. What personal information we collect
The personal information we collect depends on whether you are a virtual assistant (VA) working with us, a representative of a client business, a job applicant, or a visitor to our website. It may include:
- Name, contact details (email, phone, address) and date of birth
- Government identification and tax file details required for payroll and compliance purposes
- Employment history, qualifications, skills and references (for VA staff and applicants)
- Bank account and payment details, used for payroll and invoicing
- Business contact details, role and communications history (for client representatives)
- Work-related communications, performance records, timesheets and scheduling information
- Technical information such as IP address and browsing activity when you visit our website
We do not intentionally collect sensitive information (such as health or medical information) unless it is necessary, for example to manage leave or workplace accommodations, and where required we will seek consent.
3. How we collect personal information
We generally collect personal information directly from you, for example when you:
- Apply for a role or register interest in working with JAL
- Sign an engagement or client services agreement with us
- Communicate with us by email, phone, messaging platforms or in meetings
- Use timesheets, scheduling tools or internal systems as part of your engagement
- Visit or interact with our website
We may also collect personal information from third parties, such as referees, previous employers, recruitment platforms, or a client business (in relation to the VA placed with them), where this is reasonably necessary for our services.
Personal information is stored electronically in secure systems and platforms used by JAL, including cloud-based HR, payroll, scheduling and communication tools, and in physical records where applicable.
4. Why we collect, hold and use personal information
We collect, hold and use personal information to:
- Recruit, place, manage and pay virtual assistant staff
- Provide outsourcing and staffing services to client businesses
- Administer contracts, invoicing, payroll, leave and performance management
- Communicate with clients and staff about day-to-day work
- Meet our legal, tax and regulatory obligations in the Philippines and Australia
- Improve our services, systems and website
- Respond to enquiries and resolve complaints
5. How we disclose personal information
We may disclose personal information to:
- The client business a VA is placed with, and that client's authorised representatives, for the purpose of the engagement
- JAL staff and contractors who need the information to do their jobs
- Payroll, accounting, banking and IT service providers who support our operations
- Government and regulatory bodies, where required by law
- Professional advisers, such as lawyers or accountants, where necessary
We do not sell personal information to third parties.
6. Overseas disclosure
Because JAL operates between the Philippines and Australia, personal information is likely to be stored and processed in both countries, and may be accessed by JAL staff based in the Philippines. Personal information may also be held by cloud service providers whose servers are located outside Australia and the Philippines, for example in the United States or Singapore, depending on the platforms we use for HR, payroll, scheduling and communications. Where personal information is disclosed overseas, we take reasonable steps to ensure it is handled in a manner consistent with this policy.
7. Data security
We take reasonable steps to protect personal information from misuse, interference, loss, and unauthorised access, modification or disclosure. This includes using secure systems with access controls, limiting access to personal information to staff who need it, and using reputable third-party platforms for storage and communication. No method of electronic storage or transmission is completely secure, and we cannot guarantee absolute security.
We retain personal information only for as long as it is needed for the purposes described in this policy, or as required by law, after which it is securely deleted or de-identified.
8. Access and correction
You can ask to access the personal information we hold about you, or ask us to correct it if you believe it is inaccurate, out of date, incomplete, irrelevant or misleading. To make a request, contact us using the details in section 1. We will respond within a reasonable time. We may need to verify your identity before providing access, and in some circumstances we may not be able to provide access or make a correction (for example, where this would affect the privacy of others), in which case we will explain why.
9. How to make a complaint
If you believe we have mishandled your personal information, please contact us first using the details in section 1 so we can try to resolve the matter directly. Please provide as much detail as possible so we can investigate.
If you are not satisfied with our response, and you are in Australia, you can lodge a complaint with the Office of the Australian Information Commissioner (OAIC):
- Website: oaic.gov.au
- Phone: 1300 363 992
We will acknowledge and investigate complaints in a timely manner and keep you informed of the outcome.
10. Changes to this policy
We may update this Privacy Policy from time to time to reflect changes in our practices or legal obligations. The updated policy will be published on our website, and where changes are significant we will also notify staff and clients directly, for example by email.
